The Operations and Correspondence Representative delivers and provides support to internal and external clients, which may include brokers, shareholders and other Harbor associates. The Operations Representative provides accurate, timely transaction processing (new account, redemption, exchange & etc), quality assurance, written communications, and project support on behalf of the customers and associates of Harbor Funds. The candidate must be able to work in a team environment.
Key Responsibilities
- Execute day to day processing of various account details as a result of customer requests and inquiries with a strong attention to detail
- Performing quality control for transaction processing to ensure compliance with regulatory and department quality standards
- Independently resolving items received not in good order via callout to the shareholder or broker
- Reviewing and completing daily reports each day
- Assisting in preparing monthly, quarterly, or annual audit reports
- Actively participating in departmental project work
- Assisting in the documentation of departmental workflows and procedures
- Exercising communication and customer service skills when working with a variety of audiences (customers, vendors, managers, peers) both written and verbal
- Entering and releasing of federal wire transfers through use of State Street Cash Manager
- Performing corrective processing and monitoring of dividend adjustments
- Maintaining updated knowledge of fund products, transfer agency workflows, industry trends and regulatory guidelines
- Composing, editing and proofreading of correspondence for Harbor Funds shareholders and other document outputs. Important components of these documents are content, clarity, grammar, and typographical
- Responding to inquiries received electronically via the "Contact Us" section of the website.
- Researching and preparing content for the Frequently Asked Questions segment of the website
- Applying an understanding of technical/business writing principles to Harbor Services Group's document library of correspondence templates
- Perform additional ad hoc activities as needed
Minimum Qualifications
- 4 year degree , with strong GPA
- 1-2 years of financial services industry experience
- Knowledgeable in business writing which is usually obtained through previous experience
- Series 6 within eight (8) months and 63 within eleven (11) months of hire
Knowledge, Skills & Abilities Required
- Thorough understanding of mutual funds, securities pricing, account registrations, retirement plan processes, and SEC/FINRA regulations and guidelines
- Excellent organizational, time management, analytical, written and verbal communication skills
- Strong technical abilities which include Microsoft Word, Excel, and PowerPoint
- Familiar with DST systems or back office platforms a plus
